Welcome to Our Family!
Dear UYT Family,
Welcome to Utopia Youth Tutoring! We are honored you have chosen us to support your student’s academic journey. Our mission is to empower each child to thrive by building academic skills, confidence, and a love of learning.
We know every family is unique, and we are committed to partnering with you to create a personalized, engaging tutoring experience. In the sections that follow, you will find everything needed to get started, including our mission and values, student session expectations, scheduling guidelines, support resources, and next steps.
After reviewing and electronically signing this handbook, your next step is to complete the Family Portal onboarding process. The portal will guide you through payment or scholarship information, parent profile creation, student profile setup, and tutor matching.

Section 2: Mission, Vision & Student Core Values
Mission
Elevate K–12 student achievement in all subjects, empower learners to excel on school and state assessments, and bridge after-class learning gaps to build a stronger educational foundation.
Vision
Nurture each student’s skills and self-assurance, preparing them for both academic achievement and a fulfilling life. We aim to instill foundational qualities—honesty, commitment, respect, kindness, and empathy—that support a positive society.
Student Core Values
Every session is an opportunity to model and build these qualities in our learners:
- Honesty: Fostering trust through transparent feedback and open communication.
- Commitment: Demonstrating dedication to each student’s progress and celebrating wins.
- Respect: Valuing each learner’s background, voice, and learning style.
- Kindness: Creating a safe, encouraging space where mistakes become opportunities.
- Empathy: Understanding each student’s challenges and adapting support to meet them where they are.
Section 3: Student Session Guidelines
Session Length & Pacing
- Each session includes 45 minutes of instruction plus 15 minutes for progress reporting.
- Tutors begin on time and end punctually.
Family Role & Preparation
- Ensure your student has a quiet, well-lit workspace and reliable internet.
- Review goals and any pre-test results together before each session when available.
Engagement & Feedback
- Encourage your student to ask questions and think aloud.
- Share observations or concerns with the Program Manager so UYT can adjust support as needed.
Technical Setup
- Test your device’s camera, microphone, and whiteboard tools before the first session.
- Keep connection details handy in case of disruptions.
Cancellations & Rescheduling
- Provide at least 48 hours’ notice for cancellations whenever possible.
- Coordinate make-up sessions through the scheduling tool.
Section 4: Code of Conduct
To ensure a safe and respectful learning environment, families agree to:
- Supervision: A parent or guardian remains nearby during each video session.
- Respect: Encourage the student to treat tutors with courtesy and follow instructions.
- Punctuality: Help the student log in promptly and notify UYT of delays or cancellations at least 48 hours in advance whenever possible.
- Privacy: Do not record sessions outside the secure platform or share tutor materials without permission.
Section 5: Student & Parent Agreement
By applying the electronic signature and completing the required acknowledgment fields in Section 9, the parent/guardian and student agree to the following:
- Tuition & Payments: Sessions are billed starting at $35 per session. Billing occurs monthly.
- Cancellation Policy: Provide 48 hours’ notice for cancellations or reschedule through the Family Portal whenever possible.
- Substitute Coverage: If the regular tutor is unavailable, a qualified substitute may step in at the same rate.
- Progress Reporting: Review the tutor’s session report within 24 hours and acknowledge that you have viewed it.
Section 6: Frequently Asked Questions
What happens if we miss a session unexpectedly?
We ask for 48 hours’ notice when possible, but we understand that life happens. Please email or text UYT as soon as possible so we can reschedule or offer a make-up session when available.
How do we contact the Program Manager?

Can we switch tutors later on?
Absolutely. If you feel your student would thrive with a different match, let us know. Our goal is always to find the best fit.
How are invoices delivered?
Invoices are sent by email at the beginning of each month. You will receive a breakdown of session dates and charges.
Section 7: Tech Support Tips
We want virtual sessions to run smoothly. Use these tips to troubleshoot common tech issues:
- No sound or video? Check camera and microphone permissions, then restart the browser.
- Whiteboard not working? Refresh the session tab and rejoin the link.
- Wi-Fi cutting out? Try switching to a wired connection or mobile hotspot.
- Still stuck? Call or text the tech support line at 863-651-5412, and we will help you get back on track.
Tip: Log in 5 minutes early to catch issues before the session starts.

9.1 Final Review & Next Steps
Before completing your signature, please confirm the following onboarding steps:
- Review this Handbook: Read the Family & Student Handbook in full.
- Complete the Final Acknowledgment: Complete the required fields below and apply the electronic signature.
- Complete Payment or Scholarship Information: Use the Family Portal to submit payment or scholarship details.
- Complete the Parent Profile: Add parent or guardian contact information in the Family Portal.
- Complete the Student Profile: Add student learning needs, goals, subject areas, and scheduling information.
- Tutor Matching: UYT will begin tutor matching after onboarding information is complete.
- Match Confirmation: Watch for your tutor match confirmation and first-session details.
9.2 Family & Student Acknowledgment
By applying the electronic signature, I acknowledge and agree that:
- I have read and understand the UYT Family & Student Handbook.
- I agree to the Student Session Guidelines in Section 3.
- I agree to the Code of Conduct in Section 4.
- I agree to the Student & Parent Agreement in Section 5, including tuition, billing, cancellation, substitute coverage, and progress-reporting expectations.
- I understand that payment or scholarship information, parent profile details, and student profile details must be completed through the Family Portal.
- I consent to the use of electronic records and electronic signatures and intend my electronic signature to have the same force and effect as a handwritten signature.

After completing the required fields above, the parent/guardian should select Agree & Sign to apply the electronic signature.
If UYT requires the student to sign separately, configure the student as a second signer in a Basic Document and assign the student acknowledgment fields to the student signer. Keep the student signer fields in this final section so all signature activity remains at the end.
